The problem

Sound familiar?

Most grant teams we work with started exactly here.

Overwhelmed nonprofit grant writer surrounded by flying paperwork
  • Spreadsheets everywhere

Grant deadlines live in one sheet, funders in another, and reporting in a third. Nothing talks to each other.

  • Reinventing every proposal

Each new application starts from a blank page, even though you have years of funded proposals sitting in a folder.

  • Lost institutional knowledge

When a team member leaves, their grant history, relationships, and insights leave with them.

  • Compliance is reactive

You find out about reporting deadlines when the funder sends a reminder, usually with days to spare.

  • No single source of truth

The ED, the grant writer, and the finance director each have their own version of the same grant.

  • Siloed research

Hours spent searching for funders, only to discover a colleague already had a relationship with them.

There is a better way.

Grant Writing: The Unofficial Rulebook

From the founder

Grant Writing: The Unofficial Rulebook

The field-tested guide that informed how GFR was built. Real lessons from a grant writer who has won, and lost, hundreds of proposals over three decades. If you manage grants, this belongs on your desk.

This is the strategic thinking behind every module in the platform. The book teaches the methodology; GFR operationalizes it.

All 18 modules

Every feature built for one purpose: winning grants faster

Each module solves a specific problem in the grant lifecycle. Here is what they do, and why they matter.

Find & Research

Grant Feed

Live Grants.gov integration with smart filters, agency search, and one-click pipeline import.

Stop manually searching five databases. New opportunities surface automatically, so your team spends time applying instead of hunting.

AI Assistant

Streaming AI chatbot trained on funder intelligence. Parses structured research from conversations and saves findings directly.

Ask a question about a funder, get a researched answer. The assistant learns your organization over time, so every session gets sharper.

Research Library

Searchable workspace for grant opportunities with filtering, sorting, bookmarking, and funder database access.

Every piece of research your team does lives in one place. When a colleague discovers a funder, the whole team benefits immediately.

Write & Build

Proposal Writing

AI-assisted drafts for all 8 standard proposal sections with streaming output, word count tracking, and grant context integration.

First drafts that sound like your organization, not a chatbot. The AI uses your selected grant data to personalize every section.

Success Library

Archive of winning proposals with rich metadata, lessons learned, versioning, and CSV export.

Your best proposals become reusable assets. New team members can study what worked instead of starting blind.

Clause Library

Risk-rated legal and compliance clauses with side-by-side comparison, standard response templates, and drag-and-drop sorting.

Respond to funder terms confidently. Color-coded risk ratings let your team flag problematic language before signing.

Document Manager

Full lifecycle management with drag-and-drop upload, version history, threaded comments with @mentions, and S3 cloud storage.

Every attachment, letter of support, and budget spreadsheet in one place. No more emailing files back and forth.

Track & Manage

Dashboard

AI-powered insights, grant readiness indicators, priority deadline alerts, and milestone timeline visualization.

Open the app and immediately know what needs attention. No digging through tabs to find what is due this week.

Pipeline Tracking

Drag-and-drop Kanban board with a 7-stage lifecycle from Prospect through Closed, with workflow automation triggers.

See every grant at a glance and know exactly where it stands. Moving a card to "Submitted" can auto-create follow-up tasks.

Calendar

Deadline and event management with priority levels, grant-linked events, recurring event support, and completion toggles.

Every deadline, site visit, and reporting date in one calendar. Color-coded priorities mean the most urgent items jump out.

Workflows

If/Then rule builder with triggers for status changes, approaching deadlines, new grants, and budget thresholds.

Automate the repetitive work. When a grant hits "Awarded," the system can auto-create milestones and calendar events without anyone lifting a finger.

Money & Compliance

Financials

Grant-linked budget creation with line item management, category tracking, and matching fund calculations.

Build budgets that tie directly to specific grants. When the funder asks "where does the money go," the answer is already documented.

Compliance

AI-driven readiness assessment across 8 dimensions with color-coded pass/warning/fail indicators and actionable recommendations.

Know whether you are ready to apply before you invest 40 hours in a proposal. The system flags gaps you can fix before they cost you the award.

Reports

Three report types (Pipeline, Funder Analysis, Financial Summary) with tab-based interface, summary metrics, and CSV export.

Board meeting in an hour? Pull a pipeline report with success rates and funding totals. Export to CSV for the finance committee.

Analytics

Performance metrics including funding by period, success rate calculations, win/loss statistics, and pipeline trend visualizations.

See patterns over time. Know which funders you win with, which proposal sections need work, and how your pipeline is growing quarter over quarter.

Collaborate & Configure

Funder CRM

Interaction timeline with calls, emails, meetings, and notes. Relationship pipeline from Cold through Active with engagement scoring.

Institutional knowledge that stays when staff leaves. Every phone call, every email, every meeting note, stored and searchable.

Team Chat

Internal threaded conversations with tenant isolation and message tracking.

Quick questions answered inside the platform. No more switching to Slack or email to ask "did we hear back from that funder?"

Settings

User profile management, notification preferences, and organizational configuration.

Each team member controls their own experience. Set notification frequency, update roles, and manage access without calling support.

Common questions

Frequently asked questions

Answers to the questions we hear most from grant teams evaluating the platform.

What does "build-to-own" actually mean? Do I get the source code?
Yes. When you purchase the Build-to-Own tier, we provision a dedicated instance configured specifically for your organization. You own your data, your configuration, and your deployment. Unlike SaaS platforms where you lose access the moment you stop paying, your GFR instance belongs to you. Think of it as the difference between buying a house and renting an apartment: both give you a place to work, but only one builds equity.
How does the AI assistant learn my organization's voice?
During onboarding (Days 3 through 5), we feed your previously funded proposals into the AI research library. The assistant analyzes your writing patterns, key statistics, narrative structures, and the language your funders responded to. When you use the Proposal Writing module to draft a new section, the AI draws on that library to produce content that sounds like your team wrote it, not like a generic template.
What is the difference between Monthly Access and Build-to-Own?
Monthly Access at $99/month gives you the full platform on a shared instance with your data completely isolated from other organizations. You get all 18 modules, the AI assistant, and the ability to export your data anytime. Build-to-Own at $3,995 gives you a dedicated instance that belongs to your organization permanently. The key difference is ownership: monthly subscribers use the platform, build-to-own clients own it. If you are not sure which is right, start monthly. You can upgrade to build-to-own at any time, and we will migrate your entire history into your new dedicated instance at no extra cost.
Can the platform actually find grants for us, or do we still search manually?
The Grant Feed module connects directly to the Grants.gov API in real time. You set filters for your agency preferences, funding ranges, deadlines, and categories. Matching opportunities appear automatically. When you find one you want to pursue, one click imports it into your pipeline. The AI Assistant can also research funders conversationally and save findings directly to your Research Library.
We have a small team. How many people can use the platform?
There is no per-seat licensing. Your instance is sized during onboarding based on your team, and every person on that team gets full access to all 18 modules. Whether you have 2 people or 20, the price stays the same. This is one of the core advantages of the build-to-own model over SaaS, where adding seats means adding cost.
What happens to our data if we cancel?
On the Build-to-Own plan, the $29/month managed support is optional. If you stop paying it, your platform keeps running with all your data intact. You just manage it yourself. On the Monthly Access plan, if you cancel you get 30 days to export everything. We provide full data export tools so you can download your grants, proposals, funder records, documents, and research. Your data is never held hostage on any tier.
How does compliance tracking work across multiple grants?
The Compliance module runs an AI-powered readiness assessment across 8 dimensions, including Organizational Capacity, Financial Systems, Program Design, Evaluation Framework, Sustainability Plan, Budget Alignment, Reporting Capability, and Funder Requirements. Each dimension gets a color-coded pass, warning, or fail indicator with specific recommendations. You can run this assessment before submitting any proposal to catch gaps before they cost you the award.
Can we track a grant from the moment we find it through closeout?
That is exactly what the Pipeline Tracking module does. It uses a drag-and-drop Kanban board with seven stages: Prospect, Research, Writing, Submitted, Awarded, Active, and Closed. When you move a grant from one stage to the next, the Workflows module can automatically trigger actions like creating calendar events, setting milestones, or sending notifications. The entire lifecycle is visible in one view.
We have years of successful proposals in folders. Can we import those?
Absolutely. The Success Library is specifically designed for this. During onboarding, we help you upload your winning proposals with metadata like funder, year, award amount, and tags. Each entry supports lessons learned documentation and versioning. Once they are in the library, the AI assistant and proposal writing module can reference them when drafting new applications. Your institutional history becomes a working asset instead of a dusty archive.
How do budgets connect to grant proposals?
The Financials module lets you create budgets linked directly to specific grants. You build line items by category, track matching funds, and see totals calculated in real time. When you are writing a budget narrative in the Proposal Writing module, the financial data is already there. When you need a Financial Summary report for the board, the Reports module pulls from the same data. Everything connects.
Is this platform just for federal grants, or does it work for foundations and corporate funders too?
GFR handles all types of grants. The Grant Feed module pulls from Grants.gov for federal opportunities, and the Funder CRM, Research Library, and AI Assistant support foundation, corporate, and state-level funders equally. The Funder CRM tracks relationship history regardless of funder type, and the proposal writing tools work for any application format.
